Understand the core concepts behind TimeZero
Concepts
Understanding these core concepts will help you get the most out of TimeZero. This page explains the key building blocks of the platform.
Organizations
An Organization is the top-level container for your team and all your work in TimeZero.
- Each organization has its own isolated data and team members
- Organizations can have multiple administrators and members
- All cases, reports, and data belong to an organization
- No data is shared between different organizations
Example: "Smith & Associates Legal" or "Acme Investigations Inc."
Team Members & Roles
TimeZero has two primary roles within an organization:
Administrators
- Create and manage the organization
- Invite and remove team members
- Control organization settings and billing
- Full access to all cases and reports
Members
- Access cases they're invited to
- Create and generate reports
- Collaborate with team members
- Cannot manage organization settings
Team members can be invited to specific cases, ensuring they only see relevant information.
Cases
A Case is a container for an investigation, project, or documentation effort. Cases are the primary way you organize your work in TimeZero.
What a Case Contains
Each case can include:
- Case Files - Evidence documents, PDFs, images, and attachments
- People of Interest - Individuals relevant to the case (subjects, witnesses, contacts)
- Case Goals - Objectives and outcomes you're working toward
- Case Descriptions - Narrative context, background information, and case details
- Generated Reports - Reports created from activity logs or WhatsApp data
Case Context
When generating reports, you can choose to include case information (files, people of interest, goals, descriptions) to help the AI produce more focused and relevant summaries. This context helps TimeZero understand what matters most in your case.
Reports
Reports are the structured documents TimeZero generates from your input data. Reports transform raw data into professional, readable documentation.
Types of Reports
TimeZero can generate two types of reports:
Raw Activity Log Reports
- Generated from timestamped activity logs
- Creates chronological narratives from events
- Ideal for surveillance logs, incident timelines, and activity tracking
WhatsApp Reports
- Generated from WhatsApp group chat exports
- Transforms conversations into structured summaries
- Extracts key information and patterns from communications
Report Generation
When you generate a report, you can:
- Include case context (files, people of interest, goals, descriptions)
- Add case descriptions to steer the AI's focus
- Review and export the final report
Reports use AI to understand context and create coherent narratives rather than just listing events.
Raw Activity Logs
Raw Activity Logs are timestamped records of events, observations, or activities. These logs serve as the input for generating activity-based reports.
Format
Activity logs typically include:
- Timestamp - When the event occurred
- Activity/Event - What happened
- Details - Additional context or observations
- Location (optional) - Where the event took place
- Participants (optional) - Who was involved
Example Use Cases
- Surveillance observations and subject tracking
- Incident reports and security logs
- Project activity tracking
- Field operation logs
- Investigation notes
Raw activity logs are processed by TimeZero's AI to create chronological narratives that tell a clear story.
WhatsApp Group Chat Backup
A WhatsApp Group Chat Backup is an export file from WhatsApp containing conversation history. TimeZero processes these backups to generate structured reports.
What's Included
WhatsApp exports are typically provided as a ZIP file containing:
- Chat conversation text (
.txtfile with timestamps and messages) - Media files (images, videos, documents shared in the chat)
- Contact information and participant names
How to Export from WhatsApp
- Open the WhatsApp group chat
- Tap the group name at the top
- Scroll down and select "Export Chat"
- Choose "Include Media" or "Without Media"
- Save the ZIP file and upload it to TimeZero
What TimeZero Extracts
When processing WhatsApp exports, TimeZero can:
- Identify key participants and their roles
- Extract important events and decisions
- Recognize patterns in communication
- Summarize lengthy conversations
- Highlight critical information
This is especially useful for legal cases, investigations, and compliance reviews where communication records need to be analyzed and documented.
Case Descriptions
Case Descriptions are narrative text that provides background, context, and focus for your case.
Purpose
Case descriptions help TimeZero understand:
- What the case is about
- What matters most
- What to focus on when generating reports
- Key themes or issues to highlight
When to Use
Include case descriptions when generating reports to:
- Steer the AI toward specific aspects of the data
- Provide context the raw data doesn't contain
- Ensure reports align with your case objectives
- Improve relevance and accuracy of generated summaries
Example: A case description might explain that you're investigating financial fraud and need to focus on monetary transactions, rather than general conversation topics.
People of Interest
People of Interest are individuals relevant to your case - subjects, witnesses, contacts, or other key participants.
Why Track People of Interest
Documenting people of interest helps:
- Keep track of who's involved in the case
- Provide context when generating reports
- Organize information by individual
- Maintain clear records of participants
When generating reports with people of interest included, TimeZero can better identify and highlight these individuals in the generated output.
Case Goals
Case Goals are the objectives or outcomes you're working toward in a case.
Purpose
Defining case goals helps:
- Keep your team aligned on objectives
- Focus report generation on what matters
- Track progress toward outcomes
- Provide clarity when reviewing cases
Examples:
- "Establish timeline of suspect's movements on March 15th"
- "Document all financial transactions between parties"
- "Identify communication patterns related to the incident"
Report Understanding
TimeZero's AI doesn't just list events - it understands context and creates narratives. Here's what that means:
Context Recognition
- Identifies relationships between events
- Recognizes patterns and themes
- Understands temporal relationships (what happened before/after)
Narrative Construction
- Creates coherent stories from raw data
- Organizes information logically
- Highlights key information
- Filters out noise and irrelevant details
Case-Aware Processing
- Incorporates your case context (files, people, goals, descriptions)
- Focuses on what matters to your specific case
- Aligns output with your objectives
This AI-powered approach produces reports that are comprehensive, readable, and professionally structured.
